Procedures for Thesis Defense and Graduation (for Students abroad)

How to use this guide: Follow the four phases in order — Before, During, After the exam, and School-leaving. Each phase lists what you need to do and which documents to prepare. Always confirm deadlines with the program office. 請依序完成以下四個階段：考試前、考試當天、考試後、離校。每個階段列出所需準備的事項與文件。請隨時向學程辦公室確認最新截止日期。

  • 1st Semester Exam must be completed by January 31第一學期：口試須於 1 月 31 日前完成
  • 2nd Semester Exam must be completed by July 31第二學期：口試須於 7 月 31 日前完成
⚠️ Early exam note: If your exam is scheduled before the semester officially begins, early registration is required. ⚠️ 提前口試注意：若口試安排於學期開始前，需提前辦理報名手續。

Prerequisites: / 報考條件：

  • All required credits must be completed by the end of the exam semester.所有必修學分須於口試當學期結束前修畢。
  • A thesis draft must be ready and approved by your advisor.論文草稿須完成並獲指導教授核准。
Step 2 — Scheduling & Committee
步驟二 — 排定時間與委員

Coordinate with Your Advisor

與指導教授協調
  • Discuss the proposed date, time, and committee members with your advisor.與指導教授討論口試日期、時間及口試委員人選。
  • Personally contact each proposed committee member to confirm their willingness and availability.親自聯繫每位口試委員，確認其意願與時間是否配合。

📌Online Application / 線上申請：

  1. Log into the Academic Information System登入校務資訊系統
  2. Go to Application System of the Oral Defense → Start to apply進入「學位考試申請系統」→ 點選「開始申請」
  3. Thesis Authorization : Simultaneously visit the NTHU Thesis & Dissertations Repository to complete thesis authorization and set your thesis publication date.

📌Documents to submit to the Program Office (hard copies) / 須繳交至學程辦公室（紙本）：

  • Oral Defense Checklist (original, signed by advisor)口試檢核表（正本，指導教授簽名）
  • Application Form for Master Degree Exam碩士學位考試申請表
  • Advisor Approval Form (download from AIS, print after registering)指導教授同意書（從校務資訊系統下載，完成申請後列印）
  • Full Transcript — all semesters (vending machine at General Building I or Admin Bldg, Nanda campus)歷年成績單（可至綜合大樓一樓或南大校區行政大樓一樓自動列印機印製）
  • Certification of Academic Research Ethics Education (AREE) Course學術研究倫理教育課程完成證明
  • Application for Delayed Open Access of Thesis (if needed)論文延後公開申請書（如需延後公開）

  • Turnitin Similarity Report (PDF) — similarity below 30%, bibliography excludedTurnitin 原創性報告（PDF）— 相似度須低於 30%，不含參考書目
  • First draft of the thesis (PDF)論文初稿（PDF）
Turnitin access: Apply via NTHU C&C Center website → Learning Services → Plagiarism Checker (Turnitin). Student Manual → Turnitin 申請方式：至清華大學計算機與通訊中心網站 → 學習服務 → 論文原創性比對（Turnitin）填寫申請表。
🌏 For Foreign Students
海外生適用說明

Considering the limited time foreign students usually have after returning to Taiwan, please provide the above-mentioned documents in the following manner instead:

考量海外生返台時間有限，請以下列方式替代繳交上述文件：

  • Master's Degree Examination Application Form — complete online, print and sign, then mail to Taiwan at least 3 weeks in advance碩士學位考試申請表 — 線上填寫完成後列印簽名，至少提前 3 週寄回台灣

Email the Letter of Appointment to all committee members, confirming the date, time, and location. (Letters can be sent via AIS; request hard copies from the Program Office if needed.)

將聘書 Email 給所有口試委員，確認口試日期、時間及地點。（聘書可透過校務資訊系統寄出；如需紙本，請向學程辦公室申請。）
Step 5 — 1 Day Before (or Exam Morning)

Upload Final Thesis to NTHU Library

上傳最終論文至清華大學圖書館
  1. Review formatting requirements: Library Submission Guidelines閱讀格式規定：圖書館繳交說明
  2. Upload your thesis to the NTHU Library system.將論文上傳至清華大學圖書館系統。
  3. Await the Library's review and the "System Letter of Verification" email.等待圖書館審核完成，收到「系統驗證通知信」。
Embargo (optional): To delay public access via the National Central Library, fill in the Application for Embargo of Thesis/Dissertation and submit it — with proof signed by you and your advisor, plus the institute seal — together with the bound copy to the Division of Registration. 延後公開（選填）：如需延後透過國家圖書館公開論文，請填寫「論文延後公開申請書」，連同本人與指導教授簽名之證明及學院印章，一併隨精裝本繳至註冊組。

Submit Bound Copies of Final Thesis

繳交精裝論文

Prepare four (4) hard-bound copies following the NTHU Thesis Format Regulations.

依照清華大學論文格式規定準備 4 本精裝論文。
The student should keep the originals of the Advisor Approval Form and the Oral Defense Form. 學生應自行保留指導教授同意書及口試審定書之正本。

The following must be bound inside the thesis (signed in blue ink): / 以下文件須裝訂於論文內（藍筆簽名）：

Complete the Graduation Process

完成畢業手續
Deadline: Before the registration date of the next semester (the first day of semester is excluded). 截止日期：下一學期報到日之前（不含學期開始當天）。
  1. Read the Graduation Procedures for Graduate Students first.請先閱讀研究生畢業離校程序。
  2. Log into the Academic Information System and initiate the "Graduation Process" — complete all steps online.登入校務資訊系統，啟動「畢業離校程序」，完成所有線上步驟。
  3. Bring the required documents to the Program Office:攜帶以下文件至學程辦公室：
    • Library approval email (notification that your thesis was accepted)圖書館核准通知 Email（論文審核通過通知）
    • 2 hard-bound copies of the thesis精裝論文 2 本
  4. Submit 2 hard copies at the Library circulation desk.至圖書館櫃台繳交 2 本精裝論文。
  5. Submit 1 hard copy (packaged by the Program Office) at the Division of Registration.至註冊組繳交 1 本精裝論文（由學程辦公室包裝）。
